Sending a Document

    Note the following when sending documents using the Send Wizard:

    • You can send up to ten documents at once. If you are launching the Send Wizard from a Multi-Edit page, only the first ten of the selected documents will be sent, since this is the limit.
    • If you are sending a document with linked documents from a document log, for example, the document you are sending is the primary item in the Attachment, up to nine of the linked documents will be automatically added to the list. A document's linked documents are not included in the list of documents to send if you launch the Send Wizard from a Multi-Edit page.
    • You can only send documents you have permission to access the document. Restrictions on document access include permissions, confidential settings, and internal/external settings.
    • You can upload a file on-the-fly to send. Choosing this option allows you to enter attributes about the file and the file is logged in the Documents module.
    • Only when sending a new message, email or fax from Messaging Inbox, Personal Outbox, Project Outbox, or Quick Launch, is the Copy to Subject button available to copy the project name into the Subject field. In other instances, the document and project information is included in the subject by default.

    Steps to Sending a Document

    To send a document:

    1. Select the recipients on Step 1 of the Send Wizard.
    2. Enter any information in the Body field.
    3. Click Select in Step 1 of the Send Wizard to select documents to send.
      • If you are clicking Send from a multi-edit page, the documents selected will populate the Documents list box by default.
      • When you select additional documents to be sent, those document's linked documents will not be included. The linked documents are included only when you click Send from a log.
      • Click View or Open if you want to view the document prior to adding it the list of documents to be sent.
        • Clicking one of the buttons in the Open column allows you to access the file associated with the Constructware document.

    4. Choose from the following:
      • Send All Documents to All Recipients: All documents are sent to all recipients. The Wizard in this case contains 3 steps.
      • Select Documents to Send per Recipient on Step 2: Allows you to specify document-recipient combinations. The Wizard in this case contains 4 steps, since the documents selected display as columns on Step 2 for you to be able to select the documents. Recipients specified when creating or editing a specific document previously are selected by default.
    5. Click Next.
    6. Depending on your selection in Step 4 of this procedure (Step 1 of the Send Wizard), either:
      • Specify document-recipient combinations. This step allows you to choose which documents are sent to which recipients and is defaulted based on the default recipients for the documents you are sending. Select the column heading checkbox to select all recipients, or
      • Specify the sending method for the documents. See Selecting a Document and Selecting Send Options for detailed information.
      • If all recipients are users, only the message column is checked by default. If one or more recipients is not a user, email will be selected by default for all recipients.
    7. Click Next.
    8. Depending on your selection in Step 4 of this procedure (Step 1 of the Send Wizard), either:
      • Specify the sending method for the documents. See Selecting a Document and Selecting Send Options for detailed information.
      • or
      • A distribution table is displayed.
      • The Documents section lists all documents that were sent. This section displays only if any documents were selected for sending.
    9. Click Next.
