Edit the Document Number, if desired. The document number is auto-suggest based on the project number and the document count.
Select the Document Type from the drop-down list as created in the corresponding Default Type Lookup Table.
Based on the file extension, automatically selects the Document Type for you based on rules described in Uploading Many Documents (for example, a .doc extension will be a Word Processing .Doc type).
Enter a Title for the Document. Be sure to put in a title with multiple keywords so that you can filter and easily find the document later.
Use Filename as Title automatically inserts the filename as the Document Title.
Enter any Notes desired.
The current date fills in automatically, but you can change it.
Select the Status from the drop-down list as created in the corresponding Lookup Table.
Use the Notification section to notify other users of the uploaded document.
The two key selections you make are Viewable By and Location.
Viewable By– Determines who can access the file, the choices being Internal vs. All Users.
Internal Users Only– When a User is set up by the Administrator, a selection designates the User as Internal or External. Internal normally refers to those Users who are employees of the company that hosts Constructware.
All Users– Any User who has at least View access to the Documents module.
Location– Refers to where the file will be stored.
Local– Referring to a local drive. Any User who wants to view the file must have access to the drive where it is stored.
Uploaded to Web Server– Files are available to Any User who has at least View access to the Documents module.
Note: Internal and Local are the highest security selections for tracking a file in the Documents module. If you want to be able to access this document from any location, the Web Server is the only choice. This location is highly recommended.
Click Browse to identify the file location if Local is selected, and select the file to upload to the Constructware server, if Upload to Web Server is selected.
Click Save on the toolbar when complete.
A confirmation displays, notifying you that your document has been successfully uploaded to the Constructware database.
