Data Maintenance Permissions

    The following table contains the Data Maintenance module permissions.

    Import Data

    User can import pertinent detail for multiple items into modules with the Import Icon such as the Drawing Log.

    A Constructware Excel template with the available data columns must first be downloaded from the site, the data added and then uploaded into Constructware.

    Change - User can download the template, add their relevant data and upload the data into the site using the Import button.

    None - User does not have the Import button available in the modules that permit importing of data.

    Logo Maintenance

    User can view, submit new, change existing, and delete an existing logo.

    Change permission allows user to upload a new logo as well as change a previously uploaded logo.

    Change - User can view existing logos, submit a new logo, and change existing a logo and deletion of previously uploaded logos.

    View - User can view existing logos, but cannot submit new ones or change existing ones.

    None - User cannot access the view logo screen.

    Custom Form Setup

    User can create, edit and view Custom form sections and questions. These custom forms are to be answered by users in the Document Management/Custom Forms. Create these forms in the "Custom Form Questions" area.

    Change - Questions. Allows user to add, edit, delete, or view Custom Form Section information and Custom Form Question information.

    View - User can view but not change the Custom Form Section information and Custom Form Question information.

    None - User cannot access Custom Form Section information and Custom Form Question information.

    Document Templates

    User can view, upload new, and enable/disable document templates. Document templates are Word documents that contain special bookmarks.

    These bookmarks act as "pointers" to information in Constructware, resulting in customizable documents.

    Change - User can view existing document templates, upload new ones, and change or disable existing ones.

    View - User can view existing document templates, but cannot submit new ones or change existing ones. User can also assign bookmarks in the Team Members module.

    None - User cannot access the Document Templates module.

    Data Export

    User has access to the Data Export module in Constructware and can enable/disable the export of client data and change the export frequency on the Export Setup Page. Using the Data Export Test Page, the user can validate the xml required to download the export and manually download the data export file to a local computer.

    Administrator - User can access the Data Export module and enable/disable the export of client data and change the frequency of the export on the Export Setup Page. Using the Data Export Test Page, the user can validate the xml required to download the export and manually download the data export file to a local computer.

    None - User cannot access the Data Export module.

    Form Letter Setup

    User can view, create, edit and void Form Letters. Form Letters are canned letters that are populated with bookmarks that act as "pointers" to information in Constructware, resulting in customizable Correspondence records.

    Other conditions must be met for the user to create a Correspondence using a Form Letter.

    Administrator - User can view existing form letters, create new ones, and change or disable existing ones.

    Change - User can view existing form letters, create new ones, and change or disable existing ones. User can only change his/her own locked Form Letters.

    View - User can view existing form letters, but cannot create new ones or change existing ones.

    None - User cannot access the Form Letter Setup module.

    Link Maintenance

    User can view, submit new, change existing, and delete Links for companies. Change permission allows user to upload new links as well as change information about previously uploaded links.

    Change - User can view existing links, add new links, and change existing links.

    None - User cannot access the view links screen.

    Lookup Maintenance

    Users create new, view and edit existing, and delete existing Lookup Table values.

    Change - User can view and add new lookup information, and change or void previously added lookup information.

    Add - User can view lookup information, add or change new lookup values for those Lookup Tables that support project-specific values, and add these lookup values to their projects.

    View - User can view existing information, but cannot add new or change existing information.

    None - User cannot access Lookup Tables.

    Project Proposal Setup

    User can edit, view and add new Project Proposal questions.

    Change - User can view and edit and modify Project Proposal Questions as well as add new questions.

    View - User can view but not save changes to project proposal questions.

    None - User does not have access to the Project Proposal Setup module.

    Project Summary Setup

    User can view and make changes to Project Summary Questions.

    Change - User can view and edit project summary questions. User can create new projects summary questions.

    View - User can view but not change project summary questions.

    None - User cannot access the Project Summary module.

    Prebid Checklist Setup

    User can view, change the Prebid checklist Questions.

    Change - User can view and edit the Prebid Checklist Questions.

    View - User can view but not change the Prebid Checklist Questions.

    None - User cannot access PreBid checklist questions menu.

    Standard CSI Codes

    User can access the CSI code screens, and can edit CSI code information. This includes Standard CSI codes, Project CSI codes, and Project CSI Code Templates.

    Change - User can access all CSI code editing screens.

    None - User cannot access screens or change CSI code information.

    Cost Code Templates

    User can create a Cost Code structure to match their company's needs.

    This includes creating the individual Cost Code segments and definitions for all combinations of segments as well as arranging, editing, and deleting segments and values. Cost Code Templates are used to build Budget Templates and Budgets.

    Administrator - User can add, delete or change Cost Code Templates.

    Change - User can change values but cannot change the structure of the codes.

    View - User can view all existing codes from the log but cannot add new or edit Cost Code templates.

    None - User cannot access screens or change Cost Code information.

    Ledger Templates

    User can create new and modify existing Ledger Templates. User creates the required columns and establishes the rules for data columns and the formulas for calculated columns in order to create a customized Cost to Complete report.

    Administrator - User can add, delete or change Ledger Templates.

    View - User can view existing templates from the log but cannot add new or edit Ledger Template information.

    None - User cannot access screens or change Ledger Template information.

    Budget Templates

    User can create new and modify existing Budget Templates. Budget Templates tie Cost Code Templates and Ledger Templates together for budget reporting purposes.

    Administrator - User can add, void or change Budget Templates.

    View - User can view all budget templates but cannot edit or add new templates.

    None - User cannot access screens or change Budget Template information.

    Markup Formulas (Global)

    User can create and modify existing default markup formulas that can be utilized in the Cost Events, RCOs and OCOs modules such as fee and overhead. Multiple markup formulas can be created and the formulas can be compounded.

    Change - User can add, edit or delete markup formulas in the markup formula module.

    View - User can view markup formulas but not edit any information.

    None - User cannot access screens or change Markup Formulas.

    Standard Terms & Exhibits

    This module is designed to allow companies to centralize their "templates" for contract and PO terms, and organized them by standard CSI Code.

    Change - Users can create and edit Standard Terms and Exhibits.

    View - Users can view information in Standard Terms and Exhibits.

    None - Users do not have access to Standard Terms and Exhibits module.

    Module Customization

    User can establish the numbering scheme and identify attributes for defaults information to be pre-filled in data fields associated with each document type in the modules for Cost Management. Users can also customize data field labels and hide selected fields from the document. In addition, you can create custom fields to capture information that is unique to your organization.

    Change - User can create numbering for document types or edit information on the attributes tab to pre-fill information in data fields in documents. User also has access to Labels and Masking tabs to customize data field labels and hide selected fields from the document. Users can create custom fields.

    Can also create custom fields.

    None - Users do not have access to the Module Customization module.

    Dashboard Templates

    User can create new and modify Dashboard templates. He can also assign and apply templates to users.

    View - User can view Templates and run reports.

    Change - User can create, edit and apply/assign Templates Change.

    Administrator - User can create and edit Templates and run reports, can assign/apply templates to users.

    None - User is not aware of Dashboard templates (does not them in Log, in Quick User Setup, in Edit User).
