RFIs Customizations

    Module customization enables you to set defaults and set up workflow routing, where applicable, for the RFIs business processes. There are two types of defaults:

    • Client level defaults are set in MaintenanceData MaintenanceModule Customization.
    • Project level defaults are set by selecting the Customize button within the Module.

    Available customization choices at the Project level are similar to the Client level, with a few exceptions.

    Client and Project Tabs

    General

    Establish the numbering format for your RFIs.

    Attributes

    Establish RFI attributes as described in the following table.

    Only users with Change or better permission to the Module Customization module can change the Masking and Labeling settings.

    AttributeDescription

    Action Requested

    Establishes a default value for the Action Requested on the RFI, for example, Direction, Approval.

    Allow Primary Responder to Change RFI Status

    Defines whether this checkbox is to be selected or deselected by default, granting the Primary Responder the permission to change the RFI status.

    If this attribute is enabled, the Status is only editable by the Primary Responder.

    Allow Primary Responder to Lock RFI

    Defines whether this checkbox is to be selected or deselected by default, granting the Primary Responder the permission to lock the RFI.

    If this attribute is enabled, the State is editable only by the Primary Responder.

    Allow Responders to Change Primary Responder

    Defines whether this checkbox is to be selected or deselected by default, granting the Responders the permission to change the Primary Responder.

    If the this attribute is enabled and if the user is a Responder, then the user will have all buttons and the Primary Responder and Responders fields are editable.

    CC

    Select and/or establish default contacts to be copied on the RFI.

    Copy into Primary ResponseDetermines which responses will be copied into the primary response. They will be appended to the existing primary response.

    The primary responder and users with Change or Administrator permission can include a secondary response on the View. Once the primary response is locked, this option is not available.

    CSI Code

    Defines a default CSI Code.

    Date

    Establishes a default value for the RFI creation date, for example, Current Date.

    Date ResolvedThe date on which the RFI was resolved.

    Detail No.

    Establishes a default value for the Detail Number. You can enter any value that serves as an additional internal numbering.

    Disclaimer

    Establishes a default stock text for the disclaimer of the RFI.

    Display Full Text in Log Fields

    Displays the full text of the Subject on the log.

    If you select this attribute, 255 character text fields will display the full text, with text wrapping as required. If you do not select this attribute, 255 character text fields will display only the first 47 characters, followed by ellipses (...). and the full text will display as a tool tip when the mouse hovers over the field.
    DrawingEstablishes the drawing number if there is a drawing linked to the RFI.

    From

    Establishes a default contact as the initiator of the RFI.

    Include Response on View

    Defines whether this checkbox is to be selected or deselected by default, defining that the response to the RFI is included on the RFI View.

    Information Requested

    Establishes a default text for the Requested Information of the RFI.

    Initial Estimate Cost

    Establishes a Currency default for the Estimated Initial Cost.

    Initial Estimate Time

    Establishes a number (of days) to indicate the Initial Estimated Time for the RFI to be resolved.

    Limit RFIs to Only the Primary Responder

    Primary Responder is read only if this attribute is enabled. There must be a default value for Primary Responder for this to be enforced, otherwise the Primary Responder is an editable list of Responders.

    Lock 'Include on View'

    If this attribute is enabled, the Include on View checkboxes on the Responders tab are read only for all users.

    The Include on View checkbox includes specific responses in/on the RFI. This determines the responses to show in the Responses table on the system template and in the Responses table bookmark.

    No.Establishes the number of the RFI.

    Notes

    Establishes a default text for the Notes section of the RFI.

    Other Ref.

    Establishes a default text for the Other Ref. section of the RFI. This can serve as an alternate tracking purpose.

    Primary Responder

    Primary Responder is read only if the Module Setup attribute Limit RFIs to Only the Primary Responder is enabled. There must be a default value for Primary Responder for this to be enforced, else Primary Responder is an editable list of Responders.

    Priority

    Enables you to enter values in a Lookup Table. Example, High, Medium.

    Probable Cost Effect

    Enables you to enter values in a Lookup Table. Example, Decrease.

    Probable Time Effect

    Enables you to enter values in a Lookup Table. Example, Increase.

    Reason for Request

    Enables you to enter values in a Lookup Table. Example, Insufficient Information.

    Recommendation

    Establishes a default text for the Recommendation section of the RFI.

    Resolution NotesNotes entered by the user resolving the RFI.

    Resolve RFIs

    Select contacts to be designated as responders.

    The Resolved column will be displayed if the project has Resolvers.

    Only users that are specified here will have access to the Resolve button.

    Resolved Notes

    Establishes a default text for the Resolved Notes section of the RFI.

    Responded Date

    Establishes a default value for the Responded Date, for example, Current Date.

    Response DueA date per responder to when their responses are due. Defaults to the Due Date from the Edit page.

    Response Notification

    Select and/or establish default contacts that are to be notified of the RFI.

    State

    If the Allow Primary Responder to Lock RFI attribute is enabled, the State is editable only by the Primary Responder.

    Status

    If the Allow Primary Responder to change RFI Status attribute is enabled. the Status is only editable by the Primary Responder.

    Subject

    Establishes a default text for the Subject section of the RFI.

    Template

    Establishes a default for the template to use for the printed RFI.

    Use HTML Editor

    Determines whether to use the HTML Editor to format the Information Requested and Recommendation fields.

    View Options

    Establish whether to display Standard Options (such as, Comments, Distribution, and Linked Documents) as well as Header Options (such as, Fax and Phone numbers) on the printed RFI. In addition, if your company is using custom fields, you can set the View Options to View All or Hide All custom fields. You can also control whether the revision history displays in the View option.

    Masking

    Allows you to hide or make certain attributes read only.

    Labels

    Allows you to re-label a standard Constructware attribute to meet your business terminology.
